Though different, every event planning management has to follow a strategy consisting of the 7 key elements as follows:

  1. Goals and objectives: Clear goals and objectives are what need to be determined first and foremost for any event planning project to go smoothly and efficiently.
  2. Budgeting: Having a fixed range and well-built budget in prior help the managers or planners control the overall costs spending for the event, leading to better event management in terms of cost.
  3. Planning and scheduling: A well-planned event requires careful attention to detail and meticulous scheduling of all activities involved. This includes determining the event timeline, scheduling vendors and suppliers, and coordinating logistics.
  4. Venue selection: Choosing the right venue is crucial for an event. Factors such as location, size, capacity, accessibility, and amenities must be well considered in the planning stage.
  5. Marketing and promotion: Effective marketing and promotion are key to attracting attendees to the event. This involves developing a comprehensive marketing strategy that includes advertising, social media, email marketing, and other promotional tactics.
  6. Risk management: Any issue that happens in an event can lead to serious damage involving human life and other matters that can cost the planner a fortune. Therefore, risk management, including assessing potential safety hazards, developing emergency response plans, and obtaining the necessary insurance coverage is a must to avoid, or at least, mitigate them.
